We’re looking for an onsite Recruiting Coordinator to be the face of our Talent Acquisition team at our Sunnyvale HQ. This role blends exceptional candidate experience with program coordination — supporting onsite interviews, scheduling, and our Early-in-Career (intern) program operations.
You’ll partner closely with our remote recruiting operations team and global scheduling coordinator to ensure every candidate and intern touchpoint is seamless, welcoming, and aligned with Illumio’s culture of excellence. This role will start out as a contract role.
Your Impact Onsite Candidate Experience (60%)
- Serve as the onsite point of contact for all candidate interviews at HQ — greeting, escorting, and ensuring a five-star candidate experience.
- Manage all interview logistics onsite, including room setup, materials, and coordination with facilities and IT.
- Partner with recruiters, hiring managers, and the remote RC to ensure interview days run smoothly and reflect Illumio’s values.
- Own candidate hospitality (lunches, welcome packets, logistics support).
Intern Program Support (20%)
- Partner to plan and execute intern events, showcases, onboarding, and engagement activities.
- Coordinate with HR, Facilities, and IT to ensure interns have an exceptional start and experience throughout their program.
- Manage onsite logistics for intern orientation, speaker sessions, and end-of-summer showcase.
- Maintain tracking of intern headcount, swag, space planning, and feedback surveys.
Recruiting Operations Support (20%)
- Support the recruiting operations team with documentation, process improvement projects, and data clean-up initiatives.
- Partner with the other team members to close loops on interview logistics or last-minute changes.
- Help identify ways to continuously improve candidate and intern experience through streamlined systems and feedback loops.
Your Toolkit - 2+ years of experience in recruiting coordination, HR, or event planning (tech industry preferred).
- Strong organizational and project management skills.
- Exceptional communication and interpersonal skills.
- Proven ability to manage multiple priorities while maintaining a calm and professional demeanor.
- Obsessed with details, communication, and creating great first impressions.
- Excited about building programs and improving processes — not just following them.
- Naturally collaborative; you love partnering with teams across HR, TA, Facilities, and beyond.
- Comfortable balancing structure and flexibility — able to pivot as priorities evolve.
- Experience using ATS and scheduling tools (Ashby, Workday, or similar).
- Willingness to be onsite full-time in Sunnyvale HQ.
