Job Description
Summary We are seeking a detail-oriented and licensed Real Estate Administrative Assistant to provide high-level support to our real estate team. This role combines transactional expertise with administrative coordination to ensure smooth operations from contract to close. The ideal candidate will hold an active real estate license and possess strong organizational and communication skills.
Responsibilities - Prepare and manage real estate documents including contracts, listing agreements, disclosures, and compliance paperwork
- Coordinate transaction timelines, schedule inspections, appraisals, and closings
- Input and update listings in the MLS, CRM, and other platforms
- Serve as a point of contact for clients, agents, title companies, and lenders throughout the transaction process
- Monitor deadlines and ensure all file compliance requirements are met
- Assist in onboarding new listings including gathering property details, ordering photography, and preparing marketing materials
- Support Team Owner with scheduling, calendar management, and client communication
- Draft email and text communications for client follow-ups and reminders
- Keep team operations running efficiently with administrative and systems support
- Setting up showings for prospective buyers.
- Taking prospective buyers on property tours
Qualifications - Active Colorado real estate license (required)
- Previous experience in a real estate administrative or transaction coordination role (preferred)
- Strong knowledge of real estate contracts, disclosures, and compliance requirements
- Proficient in MLS, CRM systems (e.g., Brivity Follow Up Boss, kvCORE, or similar), and Google Workspace or Microsoft Office
- Excellent written and verbal communication skills
- Ability to multitask and manage multiple deadlines
- High attention to detail and commitment to accuracy
- Professional, proactive, and solutions-oriented attitude
