Job Title: Project Coordinator – Customer Support
Location: Remote, United States
Duration: 12 month contract with potential to extend, 40 hours/weekly
Pay Rate: $28.70-$32.70/hourly
Key Responsibilities:
- Serve as the primary contact for general employee questions about offsites and related programs.
- Manage offsite requests via ticketing system, email, and trackers; ensure timely, professional follow-ups.
- Support planning by documenting requests and assisting with key action items.
- Coordinate with vendors, maintain resources, and oversee general logistics.
- Provide backup support for offsite logistics to ensure continuity during team absences.
- Handle logistics for offsites, including space booking, comms drafting, action item tracking, and vendor coordination.
- Create cost comparison spreadsheets to align location options with budget.
- Distribute post-offsite surveys and summarize feedback for future improvements.
- Assist with light project coordination, including documentation and admin support.
- Maintain organized documents and folders for easy stakeholder access.
- Audit and update planning resources for accuracy and accessibility.
- Track data, contribute to reports, and support program performance with data management.
- Generate spec sheets and update digital content (graphics, articles, templates) in Adobe Experience Manager—no prior experience required.
- Maintain and update planning templates, FAQs, process docs, and internal knowledge articles for accuracy and consistency.
Qualifications:
- Bachelor’s degree
- 1+ years of experience in administrative coordination, workplace programs, event planning, or operations support.
- Proven ability to stay organized and manage multiple projects, including maintaining records, calendars, and task lists.
- Strong communication skills, both written and verbal, with the ability to effectively interact with team members, vendors, and stakeholders.
- Demonstrated experience coordinating logistics for events or meetings, including vendor outreach and problem-solving during execution.
- Comfortable using Google Workspace (Docs, Sheets, Slides), Slack, and project or ticketing tools such as ServiceNow, Asana, or equivalent platforms.
Preferred Skills:
- Experience with tracking budgets, conducting cost analyses, or supporting financial elements of programs or events.
- Understanding of remote and hybrid work environments, with experience in employee engagement or workplace experience programs.
- Familiarity with content management systems or tools used for internal knowledge sharing.
- Experience working with cross-functional teams and contributing to the delivery of employee experience or workplace initiatives.
