What You’ll Be Doing

Working closely with the HR Business Partners, this role is responsible for supporting and coordinating general HR activities and providing administrative support to the US HR team. Must have strong skills in all HR systems and reporting procedures. This role will play a critical role in coordinating and delivering HR projects/ initiatives and supporting with general HR issues, Employee Relations, and Leave Management.

During a Typical Day, You’ll

Duties And Responsibilities

  • Provides administrative support for disciplinary and investigation meetings (letters of invitation, meeting minutes, letters of outcome, etc.)
  • Support all Employee Engagement and Motivation Activities, including but not limited to assisting with arrangements for Employee Engagement Forum events or any other social events, including tracking motivational.
  • Support the HRBPs to produce HR monthly and ad hoc reports i.e., Change Report, Headcount Report, Attrition Report & any ad hoc report requests.
  • Manages the Exit Interview process, booking in & conducting meetings, compiling and circulating quarterly summary reports.
  • Identify attrition trends to provide feedback to the HR Business Partners to manage with the Operations Manager’s/Leader’s.
  • Assist with HR Onboarding and any other HR related training for new & existing employees.
  • Provide administrative support to the appraisal, annual salary review, and bonus processes.
  • Support the HRBPs with the Speak Up staff survey project for the local site, supporting focus groups and implementing action plans.
  • Produce all change of employment details letters, confirmation of employment, reference letters, and exit documents.
  • Conduct annual personal details audits in order to ensure that employee details are current and accurate.
  • Manage the US HR Intranet page, ensuring it is informative and up-to-date.
  • Update and systematically organize the HR Network Drive/ SharePoint.
  • Support the HRBPs to maintain up-to-date and accurate Job Descriptions.
  • Supports the HRBPs to arrange ‘Town Halls’ communication sessions as required.
  • Sends out global communications as required by the HR leaders.
  • Responsible for the maintenance of all personnel e-files; archiving personnel files as required.
  • Work on special projects as required.

What You Bring To The Role

Education

  • Must have a Bachelor’s degree in Human Resources, Business Administration, or equivalent education.
  • SHRM Certification is preferred but not essential

Experience

  • 1-3 years of experience as a generalist, employee relations specialist, leave management specialist, or other specialized areas within the HR field.

Skills and Knowledge

  • A working understanding of US employment legislation, i.e., discrimination, disciplinary, and grievance, etc.
  • Excellent oral, written, and interpersonal skills with an ability to communicate professionally with people at all levels
  • Ability to deal with high volume and fast-paced business and re-prioritize regularly.
  • Ability to work under extreme pressure and tough deadlines
  • Ability to demonstrate integrity and professionalism, particularly in challenging situations
  • Adaptable communication style to meet the needs of different people groups/diverse cultures
  • Organizational and multi-tasking ability
  • Excellent IT skills (including a high proficiency in Excel)
  • Able to maintain confidentiality regarding all staff matters,
  • Strong attention to detail and accuracy

Hours are Monday-Friday: 8:00 AM - 5:00 PM.

Available to work or travel outside normal work schedule when necessary.
