WHAT YOU'LL BE DOING

We are seeking a proactive, highly organized, and resourceful Executive Assistant (EA) to support a senior executive or leadership team. This role is critical in enabling leadership to operate efficiently and focus on high-impact priorities. The ideal candidate is a master of time management, discretion, communication, and thrives in a fast-paced, dynamic environment.

Key Responsibilities

Administrative Support

  • Manage and prioritize complex calendars, scheduling meetings across multiple time zones

  • Handle email and inbox triage, including drafting, responding, and flagging priorities

  • Prepare agendas, take meeting notes, and track action items

Operations & Logistics

  • Coordinate travel arrangements: flights, accommodations, itineraries, and visas

  • Organize events, offsites, team meetings, and investor or board presentations

  • Liaise with internal departments and external stakeholders on behalf of the executive

Project Coordination

  • Manage or support strategic projects, ensuring follow-through on deadlines and deliverables

  • Conduct research, synthesize insights, and draft memos or presentation materials

  • Assist with recruiting coordination, onboarding, or team culture initiatives as needed

Confidentiality & Communication

  • Handle sensitive information with absolute discretion and professionalism

  • Serve as a gatekeeper while also ensuring the executive is accessible and informed

  • Draft internal and external communications that reflect the executive's voice

Qualifications

  • 3+ years experience supporting senior executives, founders, or high-level leaders

  • Exceptional written and verbal communication skills

  • High emotional intelligence, judgment, and ability to anticipate needs

  • Strong proficiency with Google Workspace, Slack, Zoom, Notion, and calendaring tools (e.g. Calendly)

  • Ability to work independently, manage competing priorities, and thrive under pressure

  • Bachelor's degree or equivalent work experience preferred
