Position Summary

As a member of the management team at the Little White House Museum (LWH), you are to share in the responsibilities to promote the Key West Harry S. Truman Foundation and its mission to share the history of the American Presidency. Market and increase sales for our location as a venue for events and meetings with pride and enthusiasm. As event Coordinator, job duties include coordinating the activities of staff, service personnel, and clients to ensure the event is a success. As the Operations Assistant, the job duties include assisting in the supervision of the staff and overseeing the daily operations. This person must have a good sense of fun and the ability to lead, direct, and motivate employees as well as increase sales and promote a harmonious workplace.

REQUIREMENTS

Essential Functions

  • Assist the Operations Manager in managing and supervising the Managers and Employees in achieving goals; plan and organize workloads and staff assignments/schedules to ensure the most effective use of staff. Participate in the interview, audition, and hiring approval process. Train, counsel, motivate, communicate job expectations, and evaluate staff.
  • In the Operations Manager’s absence as needed, approve vacation and sick leave requests in the time and attendance system. Research missed punches, gather required forms for missed punches, and enter missed punches into the time and attendance system. Approve bi-weekly timecards in the time and attendance system.
  • Consult with clients to determine objectives and requirements for events such as weddings, meetings, conferences, and conventions. Assist customer with the selection of service providers according to the client’s needs. Confer with the staff of chose services providers to coordinate details.
  • Solicit new business through cold calls.
  • Follow up on all events before, during, and after the event. Ensure all information is correct and resolve any problems that arise. Including but not limited to, pricing, dates, number of guests, floor plan/seating, outside food/beverage service, proper staffing, entertainment, accurate billing, receipt of payment, and customer satisfaction feedback.

Required Knowledge, Skills, and Abilities

  • Ability to work independently over long periods of time and in groups within the scope of established rules and regulations.
  • Knowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics and sales techniques.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, leadership techniques, production methods, and coordination or people and resources. 
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, emails, managing files and records, and other office procedures and terminology.
  • Ability to do a presentation in from of an audience according to script and stage directions, as well as improvising, if the situation arises.

Qualifications

  • Bachelor’s Degree in Arts or Business or equivalent is preferred.
  • Event planning and marketing experience.

Other Requriements

  • Must pass pre-employment MVR/background check and substance abuse testing.
  • Valid FL Driver’s License with acceptable driving record for the past three years.
  • Have a passion for helping people and making their Key West experience a memorable one.
