Job Posting: Assistant Director of Finance

Xavier High School - Middletown, CT

Starting Date: November 3, 2025

The Xavier High School Finance Office is committed to advancing the mission of Xavier High School by providing accurate and timely financial services, with exceptional customer support for the Xavier community.

Reporting to the Director of Finance, the Assistant Director of Finance is the tuition and student accounts coordinator managing tuition contracts, accounts receivable, and accounts payable processes, ensuring accurate financial tracking and responsive communication with families and vendors. This role supports payroll, employee benefits, and audit preparation, contributing to the school’s financial integrity and operational efficiency through meticulous recordkeeping and collaboration with the Director of Finance.

The ideal candidate has experience in accounting, preferably in a private school or nonprofit.

DUTIES AND RESPONSIBILITIES:

· Prepares annual tuition contracts for all grades using Blackbaud Enrollment Management.

· Manages parent tuition accounts through the Tuition Management system, responding to parent inquiries regarding tuition billing and payment options.

· Reviews and prepares weekly reports on delinquent accounts; contacts families to arrange payment plans.

· Enters student contract data into Enrollment Management.

· Assists the Director of Finance with the financial aid process.

· Balances outstanding receivables with the general ledger for year-end audit

· Prepares bank deposits for miscellaneous payments and in-school tuition payments.

· Processes credit card transactions and prepares related journal entries.

· Manages daily A/P operations and responds to related inquiries

· Matches purchase orders with approved invoices and maintains the payable database

· Verifies expenses against appropriate general ledger accounts

· Prepares weekly checks, matches them to invoices, and organizes for signature

· Downloads check register to Excel and uploads to Positive Pay Banking System

· Prepares CERT-119 Tax Exempt forms

· Maintains organized A/P files and documentation for audit purposes

· Prepares onboarding and termination paperwork for employees.

· Submits health insurance enrollment forms to the Diocese.

· Reconciles monthly health, dental, and vision insurance invoices with the Diocese.

· Assists in processing bi-weekly payroll using ADP

· Assists the Director of Finance and external auditors with year-end review by providing supporting documentation.

· Prepares journal entries and financial reports as needed.

SKILLS AND EXPERIENCE REQUIRED:

  • Accounting experience is required.
  • Minimum 3 years of progressive accounting experience, preferably in a private school environment and/or a non-profit.
  • Strong working knowledge of GAAP and nonprofit accounting standards.
  • Strong interpersonal and communication skills
  • Strong computer skills with proficiency in accounting software, Excel, and preferably Blackbaud.
  • Commitment to the values of a Catholic school environment

Salary Range: $50,000 - $55,000
