Essential Job Functions:

  • Oversees and coordinates the work efforts of the department to ensure a productive work environment. Completes and documents new employee orientation, time cards and attendance records, check requests, and other such personnel and administrative duties and responsibilities as assigned by the department Manager.
  • May assist the department Manager in recruiting staff and filling vacancies. Completes necessary requisitions and related documentation consistent with Hospital policies and procedures. Keeps department Manager informed of all personnel issues that may affect department operations and takes appropriate action to address staffing issues. Provides feedback to department Manager on performance appraisals.
  • Acts as the primary resource for problem solving for the department Manager. Identifies goals and objectives for performance improvements that are needed in order to provide the best patient care.
  • Identifies and addresses the continuing education/ training needs of staff, taking advantage of Hospital- based programs where appropriate.
  • Handles day-to-day office tasks such as ordering supplies, ensuring that office equipment is in good working condition, and assists staff with resolving problems or issues “of the moment”.
  • Monitors cost center accounts when assigned by the department Manager consistent with approved budgets. Informs department Manager of variance situations, taking appropriate action to correct errors and/or follow-up with Medical Center and staff to resolve questions or concerns.
  • Collaborates with the department Manager in the development of cost center operating and capital budgets. Completes all necessary budget forms and correspondence for review and approval by the department Manager.
  • Assists with the selection of office equipment, furniture, and computer hardware/ software. Prepares and submits requisitions to initiate purchase and installation obtaining necessary approvals as required. Monitors overall process to ensure timely receipt and/or installation.
  • Coordinates recruitment activities in conjunction with the department Manager. Completes and processes necessary forms and requisitions. Monitors overall progress of recruitment activities and takes appropriate action to address questions or concerns that may develop.
  • May oversee and/or utilize the assistance of lower level clerical support staff.
  • Performs job functions adhering to service principles with customer service focus of innovation, service excellence and teamwork to provide the highest quality care and service to our patients, families, co-workers and others.
  • Other job functions as assigned.


Knowledge, Skills and Abilities:

  • High School diploma or equivalent. Associate degree preferred or equivalent educational courses.
  • Three (3) years general office or secretarial experience that includes one year of mid-level management support required. Hospital experience preferred.
  • One (1) year office supervisory experience in a hospital office setting strongly preferred. Experience with major project management and planning preferred.
  • Excellent leadership skills, ability to work with teams, excellent written and verbal communication and organizational skills, analytical ability, understanding of data management and data analysis.
  • Extensive knowledge and experience working with Microsoft applications such as Microsoft Word, Excel, and PowerPoint with the ability to operate standard office equipment (examples: photocopy machine, facsimile machine, calculator, etc.). Ability to type at least 40 wpm is preferred.
