About the Role

As our Administrative Team Assistant, you'll be the primary coordinator ensuring our Core Team operates smoothly and efficiently. You'll master the art of calendar management, assist with event coordination, and logistical planning while building relationships across the organization that will serve as the foundation for your administrative career.

Key Responsibilities

  • Calendar Management - Coordinate and maintain calendars for multiple Core team members, schedule recurring meetings and project syncs, proactively resolve scheduling conflicts, and ensure participants are prepared for meetings.
  • Event and Milestone Tracking - Monitor and record key team events, internal deadlines, and planning cycles, maintaining up-to-date logistics information and sending timely reminders.
  • Hotel Block Bookings and Off-Site Planning - Organize accommodation blocks for conferences, coordinate logistics for off-site meetings, prepare comprehensive attendee lists and event timelines, and collaborate with internal teams for seamless execution.
  • Administrative and Team Support - Collaborate with other administrative professionals to share best practices, participate in cross-support training including travel and expense processes, and provide backup assistance to peers when needed.

Essentials:

  • Minimum 2–4 years of experience in an administrative or support role with demonstrated success
  • Strong organizational and time-management skills with meticulous attention to detail
  • Proven ability to manage multiple schedules and competing priorities simultaneously
  • Proficiency with Microsoft Office suite, particularly Outlook, Teams, and scheduling tools
  • Professional communication skills with the ability to interact effectively with all levels of staff

Nice-to-Have:

  • Experience supporting executive or senior management teams
  • Familiarity with travel booking systems and expense reporting processes
  • Background in event planning or coordination
  • Experience with digital calendar management tools beyond basic Outlook
  • Problem-solving mindset with the ability to anticipate needs before they arise

The position will be located in our Armonk, NY office. We operate on a hybrid work model where you'll be in the office three days per week. 

For New York City the estimated base salary range for this position is $68,000 to $110,000.  The specific salary offered for this or any given role will take into account a number of factors including but not limited to job location, scope of role, qualifications, complexity/specialization/scarcity of talent, experience, education, and employer budget.  At Swiss Re, we take a "total compensation approach" when making compensation decisions. This means that we consider all components of compensation in their totality (such as base pay, short-and long-term incentives, and benefits offered), in setting individual compensation.
