Job Description

Position Title:  Administrative Specialist

Job Summary:  The Administrative Specialist is responsible for organizing and executing specific administrative activities for Metro Meals on Wheels.

The Administrative Specialist is a full-time position that reports to the Client Services Director

Responsibilities:

Finance & Fundraising related Duties:

  • Accurately record in database all incoming funds from donors, foundations, individuals and businesses
  • Prepare return correspondence to donors in timely manner; generally within 24 hours of receipt of donation
  • Manage online and monthly contributions, including recording and return correspondence

Client Enrollment Duties:

  • Provide excellent telephone and online customer service for Meals on Wheels recipients, member programs and caregivers as they enroll clients for home delivered meals
  • Serve as back up to enrollment staff

Volunteer-related Administrative Duties:

  • Follow-up on all volunteer inquiries including online, telephone and in person
  • Maintain database MMOW volunteer recruitment activities
  • Work with office volunteer staff
  • Serve as back up to office volunteers
  • Coordinate office volunteer recognition
  • Review volunteer applications and complete background checks

Qualifications/Skills:

  • Excellent verbal and written communication skills
  • High School Diploma or GED, minimum
  • 1 year administrative support in a health care setting, Meals on Wheels or similar helpful
  • Knowledge of  HIPAA compliance policies and procedures
  • Excellent customer service, organizational and follow-through skills
  • Proficient in the use of windows based computer applications; MS Word, Excel & Outlook, and database experience
  • Ability to organize and prioritize work flow
  • Ability to work independently and as part of a team
  • Professional and courteous attitude
  • Proficiency in Spanish, Hmong or Somali a plus
