The Administrative Assistant role, an in-office position at our Braintree location, supports the efficient operation of the Finance's departmental and office functions, ensuring accuracy, organization, and timely communication. The role requires strong organizational skills, attention to detail, and a commitment to excellent customer service.

Essential Functions:  

  • Respond promptly and professionally to client and internal inquiries. 
  • Research and resolve issues using available tools and resources. 
  • Collaborate across departments to drive resolutions and process improvements. 
  • Support project coordination, data entry, and document management. 
  • Assist with project planning, scheduling, and logistics. 
  • Maintain project trackers and facilitate stakeholder communication. 
  • Develop and update departmental procedures and documentation. 
  • Provide general administrative and operational support as needed. 
  • Assist the finance team with stipend processes. 
  • Support Accounts Payable, Accounting and Revenue Cycle team as needed. 
  • Conduct research with available resources to satisfy client and internal inquiries. 
  • Serve as a liaison between internal teams, vendors, and external partners. 
  • Foster culture of customer service and commitment to quality care. 
  • Serve as a brand ambassador for Vitra reflecting our vision, mission, and values. 
  • Show genuine interest and compassion for the communities we serve. 
  • Other duties as assigned. 

Education, Experience and Licensure Requirements  

  • College Degree preferred, High school diploma or GED required. 
  • Minimum of 3-5 years of administrative experience required.
  • Strong organizational, multitasking, and problem-solving skills. 
  • Excellent written and verbal communication abilities. 
  • Spanish speaking preferred. 
  • Experience with administrative coordination preferred. 
  • Comfortable working independently and managing shifting priorities. 
  • Proficiency in computer literacy. 
  • Professional, customer-focused, and collaborative mindset. 
  • Resilient. 

Physical and Environmental Demands

  • Works in a clean, well-lit environment with fluctuating temperatures in close proximity to others. 
  • Requires substantial periods of repetitive work utilizing a computer, monitor, keyboard, and mouse. 
  • Requires lifting and carrying equipment and supplies weighing up to 35 pounds; requires pushing and pulling equipment and supplies weighing up to 35 pounds; requires walking and standing; requires frequent sitting more than 75% of the workday; requires the ability to navigate stairs; requires visual acuity and manual dexterity to operate equipment.
