Job Description

Administrative Support

  • Respond to or forward general inquiries from the Department website via email.
  • Make updates and prepare and distribute analytics reports on Department Sharepoint. Respond to questions via email from Department SharePoint users. 
  • Develop and maintain a system to store and inventory Department photo files.
  • Provide support with mailings.
  • Maintain contact/mailing lists. 
  • Research, order, and maintain inventory of swag items. 
  • Create reports on faculty publications.
  • Organize and maintain a list of faculty accolades.
  • Coordinate distribution of printed materials.

Event Support

  • Implement logistical support for events organized by the executive assistant, major gifts officer, or marketing communications specialist. 
  • Manage online registration systems. 
  • Coordinate with speakers/facilitators/attendees.
  • Book space, make meal arrangements, arrange tech support, manage calendars, set up/clean up/staff events, take attendance, and coordinate transportation.
  • Assist with onsite coordination during events. 

Alumni Relations

  • Support the Department in maintaining and engaging relationships with alumni.
  • Conduct background research on alumni.
  • Arrange interviews with alumni for profiles and features. 
  • High school diploma or equivalent
  • Minimum 1-year related work experience
  • High proficiency with IT applications including Microsoft 365, Google Suite, and other third-party production software
  • High degree of attention to detail and accuracy
  • Demonstrated a high level of critical thinking, problem solving, and decision making. 
  • Excellent interpersonal, written, and oral communication skills 
  • Ability to work effectively and sensitively with a diverse group of faculty and staff. 
  • Demonstrated initiative; the desire to identify opportunities for changes to processes, procedures, and duties
  • Demonstrated willingness to contribute to a team setting.
  • A bachelor's degree or equivalent with 1-4 years of experience in Academic Services or similar areas of administration
  • Experience with SharePoint, Elements, Drupal, Canva 
  • Familiarity with Michigan Medicine and University policies and procedures.

This position will be hybrid with most work completed remotely with flexible hours. One day per week onsite is required, along with onsite event support as needed. 

Under general supervision, provides general administrative support to the Department of Family Medicine. This position will functionally report to the chief department administrator.

  • work independently with minimal supervision. 

Candidates for this position must have the knowledge, skills, abilities and experience needed to provide highly responsible and effective administrative support in an academic setting. Key skills include accuracy and attention to detail, the ability to problem-solve, excellent planning skills, consistent and effective follow-through on all matters, high quality writing skills and excellent customer service. 

The successful candidate will be working in a fast-paced environment with ever-changing priorities and must be adaptable, able to work under pressure to meet deadlines, and able to develop relationships with faculty and staff from across the Department as needed to support a collaborative environment.

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
